An airport handover feels simple until several small pressures arrive at once: a delayed flight, weak phone signal, tired passengers, unfamiliar paperwork and luggage blocking the view around the car. A good pickup routine separates those problems into short stages. You do not need to memorise everything; save this sequence and work through it without rushing.
Before the aircraft lands
Keep the booking confirmation, passport, national driving licence and International Driving Permit together in your cabin baggage. Screenshots are useful when mobile data is slow, but bring the original documents required by the rental terms. Check that the booking name matches the main driver and that any additional driver knows what to present.
Save the meeting instructions and contact number offline. “Phuket Airport pickup” can mean a desk inside a terminal, a representative in the arrivals area, a shuttle to a nearby location or delivery to a designated lane. Confirm the terminal as well: domestic and international arrivals are not the same meeting point.
After baggage claim: contact first, wander second
Once every bag has arrived, send the agreed arrival message before leaving the terminal area. Include your name and flight number rather than a vague “we are here.” If a bag is missing, deal with the airline process first and tell the rental contact about the delay. That is easier than making a representative search for passengers who are still inside.
Do not accept help from an unknown person who cannot identify the reservation. Confirm the company contact, your name, vehicle category and handover location before following anyone away from the public arrivals area.
At the paperwork stage
Read the rental dates and times, return point, authorised drivers, fuel level, mileage conditions, deposit and insurance excess. Ask how extensions are approved and what number to call after a collision, tyre problem, warning light or lost key. If an answer changes an important condition, have it added to the agreement or written in the booking conversation.
Check the amount being charged separately from the amount being held. A deposit authorisation and a rental payment are different transactions. Keep the receipt or screen confirmation until the contract is closed.
Photograph the car in a fixed order
Walk around the vehicle clockwise so no side is forgotten. Take a wide photograph of each corner, then close-ups of scratches, dents, wheel marks and glass chips. Include the roof if it is visible, the lower bumpers and the luggage sill. Inside, record the seats, dashboard, boot and any supplied child seat.
Photograph the odometer and fuel gauge with the engine on. Make sure existing damage is marked in the handover record. A short continuous video is useful, but clear still images are easier to inspect later. Keep the original files with their timestamps.
Test the controls before loading every bag
- Start the engine and check that warning lights go out normally.
- Find the indicators, wipers, lights, hazard button and parking brake.
- Test the air-conditioning, mirrors, windows and central locking.
- Confirm the spare-wheel or repair-kit arrangement and emergency equipment.
- Pair navigation or set the route while the car is still parked.
If something important does not work, report it before departure. Do not let the queue behind you turn a clear defect into a later argument.
Load for visibility, not just capacity
Heavy bags belong low and should not move under braking. Nothing should block the rear window or sit loose beside a child. If the planned luggage does not fit safely, solve the problem at the handover point; an open parcel shelf or a suitcase between passengers is not a workable start to a holiday.
The first ten minutes on the road
Phuket traffic can feel intense immediately after a flight. Choose the simplest route to the hotel, not an ambitious sightseeing stop. Keep left, leave extra space and let faster traffic pass. The driver should ignore messages and navigation changes until there is a safe place to stop.
Listen for unusual noises and check the temperature and warning lights once more after the first calm stretch. If the vehicle does not feel right, contact the rental team promptly rather than driving across the island and hoping it improves.
Prepare the return while the pickup is fresh
Pin the exact return point, note the required fuel level and allow for airport traffic, refuelling and a final inspection. Ask whether the domestic and international return lanes differ. A screenshot of the agreed instructions can prevent confusion at the end of the trip.
